Briefing

Overview

We will redesign and build the Octacom website into a clearer, more scalable, and more effective demand-generation platform.

The site will be structured around the key tasks prospective customers need to complete: understanding what Octacom does, finding the right solution for their use case, industry, or company size, exploring relevant technology and resources, validating security and compliance, reviewing customer proof, and getting in touch with the sales team.

A key part of the project is the creation of a flexible CMS structure. Instead of treating solutions, industries, market segments, blog posts, videos, guides, case studies, locations, and legal content as static pages, the site will be built around reusable CMS collections and templates. This allows the Octacom team to add and manage content directly, while keeping the front-end structured, scalable, and easy to navigate.

The CMS setup will also support relationships between collections such as use cases, industries, company sizes, resource types, locations, and related content. These can be connected across the site, enabling filtering and contextual cross-linking between solutions, resources, case studies, industries, and other relevant content.

The result is a solution-first website that is easier for prospects to navigate, better structured for SEO and AEO, and significantly easier for the internal team to manage and expand over time.

Scope

The project includes the design exploration, website design, visual system, and Framer build of the Octacom website.

This includes:

  • Refinement of the information architecture, page inventory, and primary user journeys

  • Development of three initial design directions and iteration toward one approved visual direction

  • Redesign of the full Octacom website experience

  • Front-end implementation in Framer

  • Setup of static pages, CMS index pages, and CMS template pages

  • CMS setup for use cases, industries, market size, blog, videos, guides, case studies, locations, legal content, and supporting collections

  • Setup of relationships between collections to support filtering, related content, and contextual cross-linking

  • Design and build of reusable components such as solution cards, resource cards, filtered lists, CTAs, content modules, team sections, location modules, forms, navigation, and related-content sections

  • Design and production of the agreed visual asset system, including abstract brand visuals, diagrams, workflows, interface-inspired visuals, photography treatments, illustrations, and icons

  • HubSpot integration for agreed lead-generation and conversion flows

  • Technical SEO and AEO setup, including metadata, structured data, robots.txt, sitemap configuration, and indexation controls

  • Responsive implementation for desktop, tablet, and mobile

  • Accessibility best practices aligned with WCAG 2.1 AA

  • Structural preparation for future French-language content

  • Content population based on the agreed page and CMS inventory

  • QA, launch preparation, and handover so the internal team can manage future updates

The scope assumes that Octacom’s existing logo will remain unchanged, while the wider digital brand expression — including typography, colour application, imagery, visual language, layouts, motion, and supporting graphic elements — will be refreshed as part of the project.

Certain parts of the project add complexity and are included in the estimate only to the extent described above. This includes the number of CMS collections and templates, the depth of filtering logic, relationships between collections, HubSpot forms and attribution requirements, structured data, visual production, and the volume of content to be populated.

The exact number of individual visual assets will be defined after the primary page layouts have been approved. At that point, an asset matrix will be created covering the diagrams, workflows, interface visuals, abstract graphics, photography treatments, illustrations, and icons required for the approved website.

The production of these visual assets will then be scoped and priced separately based on the final asset matrix. Visual asset production is therefore not included in the fixed website project fee unless explicitly listed otherwise.

If more advanced functionality is required — for example custom application functionality, complex filtering beyond Framer’s native capabilities, advanced CRM automation, custom backend integrations, large-scale multilingual rollout, custom photography production, or substantial new page types introduced after scope approval — this would need to be reviewed separately and may affect scope, timeline, or budget.

Content and source materials are assumed to be provided by the client in a structured and production-ready format. Full copywriting, translation, custom photography production, and third-party asset licensing are not included unless agreed separately.

Supporting CMS Collections

In addition to the main content collections above, the CMS can include supporting collections that are referenced across the website and used for filtering, grouping, relationships, and related-content logic.

These may include:

Categories
Used to group content across blog posts, videos, guides, case studies, and other resource types.

Topics
Used for broader thematic organization around areas such as document processing, workflow automation, information management, security, compliance, accounts payable, OCR, and related subjects.

Tags
Used for flexible multi-select filtering and cross-linking between relevant solutions, resources, case studies, and other content.

Industries
Used as both a primary Solutions collection and as a reference field connecting relevant case studies, resources, and other content to specific industries.

Use Cases
Used as both a primary Solutions collection and as a reference field connecting resources, case studies, and related content to relevant customer needs and workflows.

Market / Company Size
Used as both a primary Solutions collection and as a reference field connecting relevant content to specific customer or market segments.

Resource Types
Used where required to classify and connect different forms of educational and downloadable content.

Related Content References
Used to link solutions, blog posts, videos, guides, case studies, industries, use cases, and other relevant content to one another.

This structure allows solutions, resources, case studies, locations, and supporting content to be filtered, grouped, reused, and cross-linked throughout the website instead of being managed as isolated static pages.

Design Direction

The Octacom website should feel clear, enterprise-grade, modern, and confident. The design should balance trust, operational scale, security, and technical sophistication while keeping the experience focused on recognizable solutions, business outcomes, and clear conversion paths.

As part of this project, we will develop a refreshed digital design direction for Octacom rather than simply reusing the current website system. This includes typography, colour application, layout principles, components, imagery, iconography, diagrams, interface treatments, motion, and the broader visual language of the site.

Based on this scope, the proposal is estimated as a fixed-price project. The existing Octacom logo is assumed to remain unchanged. If a broader rebrand is required — for example a new logo, naming, positioning strategy, or a substantially expanded brand identity beyond the website-focused refresh described above — this would be scoped separately.

Timeline

Estimated project duration: 6 weeks

  • Week 1: design exploration, three creative directions, review, and alignment on the final visual direction

  • Weeks 2–3: homepage and Solutions CMS template design/build, core component system, and internal review

  • Weeks 3–5: rollout across remaining pages, CMS collections, responsive implementation, HubSpot, SEO/AEO, and content population

  • Weeks 4–6: visual asset production, refinements, QA, launch preparation, and handover

  • Final delivery: within approx. 6 weeks from kickoff

This timeline assumes timely feedback, consolidated review rounds, and that the required content, files, brand inputs, and CMS content are provided by the client team.

The final timeline may vary depending on the agreed page inventory, CMS depth, filtering logic, number of visual assets required by the approved layouts, HubSpot complexity, and any new functionality or content requirements introduced during the project.

Price

Fixed project price: €38,000

This includes design exploration, information architecture refinement, website design, Framer build, CMS setup, responsive implementation, HubSpot integration, SEO/AEO setup, visual asset production, QA, launch preparation, and handover structure as outlined above.

The price assumes that Octacom’s existing logo remains unchanged and that the project focuses on refreshing and extending the broader digital brand expression through the website.

The exact number of visual assets will be defined based on the approved page layouts and final asset matrix. Custom photography production, third-party licensing, full copywriting, translation, major CRM re-architecture, advanced custom integrations, or functionality beyond Framer’s native capabilities would be reviewed and scoped separately.

Terms

IP & Usage Rights

All intellectual property created during the project remains property of Allsite Studio until full payment has been received. After full payment, the client receives a perpetual non-exclusive license to use the delivered website and assets. Allsite may reuse general methods, frameworks, and components. Usage rights transfer only after full payment.

Payment

Fixed-price payments are structured as follows: 50% at kickoff and 50% upon delivery of final version. Invoices are due within 7 days. Work may pause if invoices remain unpaid.

Feedback & Communication

Feedback is most helpful when it is structured and consolidated. The preferred method is comments directly in Framer, as this keeps context attached to the relevant section. Ideally, the client submits one review per version and confirms when the review is complete. Communication is primarily asynchronous via Framer comments or email.

Client Responsibilities

The client provides required materials in time, including brand assets, final copy, access credentials, product information, customer proof content, legal texts, forms, tracking requirements, and other inputs needed for delivery. The client is responsible for the accuracy and compliance of all website content.

Content Structure & Copy Support

Allsite will support the website narrative, page structure, headline system, core copy direction, and SEO/AEO optimization across pages and content. Final content review, edits, and German translation will be handled by the encosa team, with Allsite assisting the process when needed.

Scope Control

This proposal defines the agreed scope. Requests outside the agreed scope may be treated as additional work and quoted separately.

Timeline Dependencies

Timelines assume timely feedback, consolidated review rounds, and delivery of required materials by the client. Delays on the client side may shift delivery dates.
